Last updated: 19 October 2026

This policy explains how Framework Creative Agency collects, uses and protects personal information when you use our website, contact us, or work with us.

Who we are

Framework Creative Agency is the property media branch of Framework Creative, which is a trading name of Framework Solutions Scotland Ltd, a company registered in Scotland (company number SC616889). Our registered office is Clyde Offices, West George Street, Glasgow, G2 1BP.

We are the data controller for the personal information described in this policy, except where we explain otherwise below.

For any question about this policy or your data, email hello@frameworkcreative.co.uk.

Whose information we hold

  • People who contact us, for example through our booking form or by email.
  • Our clients, mainly estate agents and their staff.
  • Vendors, landlords and tenants whose properties we photograph or film, where an agent passes us their details so we can arrange access.
  • Visitors to our website.

What we collect

  • Enquiry details: your name, agency, email address, phone number, the property address and anything else you tell us when you get in touch.
  • Client details: business contact details, booking history, billing and invoice details, and correspondence.
  • Property access details: the name and phone number of the vendor, landlord or tenant, and access arrangements, as provided by the agent.
  • Photographs, video, 3D scans and floorplans of properties. These are of buildings and interiors. We try not to capture people, and we avoid or remove personal items such as family photos and documents where we can.

When an agent instructs us

When an estate agent books us to photograph a property, the agent decides why and how the vendor's, landlord's or tenant's details are used. In that situation the agent is the data controller and we act on their behalf (as a data processor) only to arrange access and carry out the shoot. If you are a vendor, landlord or tenant, the agent's own privacy notice also applies, and you can contact them or us with any questions.

Who we share it with

We do not sell personal information. We share it only with service providers who help us run the business, under contracts that require them to protect it:

  • Airtable: booking and client records
  • Microsoft 365: email
  • SiteGround: website hosting and our booking form
  • Dropbox and our own client photo gallery: delivering finished media to agents
  • Our accountants, and HMRC or other authorities where the law requires it

Transfers outside the UK

Some of our providers, including Airtable and Dropbox, store data outside the UK, mainly in the United States. Where this happens, the transfer is protected by safeguards recognised under UK law, such as the UK–US data bridge or the ICO's approved international data transfer agreement.

How long we keep it

  • Enquiries, booking information, property access details and shoot files: 12 months, then deleted from our accounts and systems.
  • Invoices and financial records: 6 years, as required by law.
  • Images used in our portfolio: for as long as they appear there, with the agent's permission.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that is wrong
  • ask us to delete your information
  • ask us to restrict or stop using it, or object to how we use it
  • ask us to transfer it to another organisation

Email hello@frameworkcreative.co.uk to use any of these rights. We will reply within one month. There is normally no charge.

Cookies

Our website does not use advertising or tracking cookies, and our fonts are hosted on our own site.

Our property films play directly from our own website, so watching them does not involve YouTube or any other third party. Links to our YouTube channel and social media pages take you to those sites, which have their own privacy policies.

Our virtual tours are embedded from our 3D tour provider (Matterport) in the same way. Nothing loads until you press to start a tour. Once you do, the provider may set cookies and collect information under its own privacy policy.

If we add analytics in future, we will update this policy and ask for your consent first.

Keeping your information secure

We use secure, access-controlled systems, limit access to people who need it, and use providers with recognised security standards.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page.
